Many of ebrary most popular books from some of our most prominent publishers are only available as single-user, whereby access is limited to one patron per copy of the book (either online or offline). If a second patron tries to access a book that’s already in use, they will see a preview-only copy of the book (see related article for details) and if they try to view more than a few pages they will be notified that the title is already in use.

To address this, ebrary allows all customers in the Academic Market the possibility of being notified of occurrences of turnaways, as well as auto-upgrading options.

Once an ebrary site is enabled for turnaway notification, the Admin librarian, who needs to sign in to ebrary with their Admin-enabled account, will have a TURNAWAYS tab in the Admin module, where they can specify the email contact to whom notifications should be sent.

These notifications occur once daily (frequency not yet adjustable) and include, for all titles that were turned away that day, a call to action with a link to view purchase options: outright purchase of an additional single-user copy, upgrade to a multiple-user license, or initiation of a short-term loan of an additional copy of the book.

If you would like to take advantage of this feature and/or are unsure whether your site is properly configured, contact ebrary Technical Support.

3USER– Three-user perpetual license. A title purchased as 3USER means three (3) users can access the document concurently. Not all documents are available in 3USER or MUPO license, and MUPO license is not available to corporate, K/12, or public libraries.

Book – A document available on ebrary. Interchangeably called book, document, or title. Most ebrary titles are books, but some are journals, maps, or sections of books made available as a separate document by the publisher.

Channel – Also referred to as a site. A hosted ebrary website that provides access to all the documents (subscription, perpetual access, or DASH) for a particular customer such as a school, company, university, or public library.

Collection – An aggregate of books sharing one more similar attributes.

DASH! - Stands for ‘Data Sharing Fast’. It’s an ebrary product that empowers libraries to create, upload, and share their own PDF collections, right from their own computers.

DDA – Demand Driven Acquisition. It is YBP’s ebrary PDA.

eBOP - ebrary Ordering Platform. An eBOP title one that has been purchased from ebrary as a perpetual access title.

Extended Access – Also referred to as Turnaway Prevention, allows an administrator to set rules for a sought-after, but in-use, single-user title to initiate a just-in-time loan, upgrade, or additional purchase – thereby extending availability on demand.

Loan - Also referred to as Short-Term Loan or STL. A loan is an ebrary book that is made available on an ebrary site for 1 day or 1 week (depending on the library’s preferences) at a fraction of the book’s purchase price.

Multi-user – Multi-user titles can be accessed by an unlimited number of users at the same time. All titles in subscription collections (for example, Academic Complete) are multi-user. And purchased titles, if purchased as MUPO, are multi-user.

MUPO – Multi-user perpetual license. A title purchased as MUPO can be accessed by an unlimited number of users at a time. Perpetual access titles can be purchased as either single-user-only (SUPO), three-user (3USER), or multi-user (MUPO). Not all documents are available for 3USER or MUPO purchase, and MUPO is not available to corporate, K/12, or public libraries.

PDA – Patron Driven Acquisition. A purchasing model whereby a library provides a set of books to their patrons, without having to pre-purchase all of them. If a book gets sufficient use, it is then “triggered” for purchase.

Perpetual Access – Purchased titles. An ebrary site has access to perpetual access titles (i.e., titles they have purchased) as long as they have access to their ebrary site. Even if a publisher pulls a title from ebrary, if an ebrary site has purchased the title it will not be taken away.

Site – An ebrary site (also called a “channel”) is a hosted ebrary website that provides access to all the documents (subscription, perpetual access, or DASH) for a particular customer such as a school, company, university, or public library.

STL – Short-Term Loan. A loan is an ebrary book that is made available on an ebrary site for 1 day or 1 week (depending on the library’s preferences) at a fraction of the book’s purchase price.

Subscription collection – A set of documents that are essentially leased to an ebrary site, typically on an annual basis. The specific documents in subscription collections can change without prior notice, but the expectation is that we will add more than we remove. The Admin NEWS tab announces changes as possible. MARC record adds and deletes reflect all additions to and removals from your subscription collections. If an ebrary site requires guaranteed access to a particular document (i.e., it is being assigned for a class), the library should purchase it because with subscription collections, there is no guarantee that the title won’t be removed.

SUPO – Single-user-only perpetual license. A title purchased as SUPO can only be accessed by one user at a time. Perpetual access titles can be purchased as either single-user-only (SUPO), three-user (3USER), or multi-user (MUPO). Not all documents are available for 3USER or MUPO purchase, and MUPO is not available to corporate, K/12, or public libraries.

Title – Often used to mean an ebrary document; interchangeably called book, document, or title. Most ebrary documents are actual books, but some are journals, maps, or sections of books made available as a separate document by the publisher.

Triggerable use – The amount and type of use required for a PDA or STL+PDA document to be triggered for purchase or loan. See the knowledge base for the details of what constitutes triggerable use: http://support.ebrary.com/english/1586

Turnaway - When a user tries to open an ebrary document but it is a single-user book (or the last copy of a 3USER book) that’s already in use. The user is alerted to this and are asked if they would like to queue for it.

Turnaway Prevention – also referred to as Extended Access, allows an administrator to set rules for a sought-after, but in-use, single-user title to initiate a just-in-time loan, upgrade, or additional purchase – thereby extending availability on demand.

Want to be alerted if new titles on your ebrary site match certain criteria? Or if a particular title is offered for purchase in the future? Simply follow the steps below to create the corresponding search.

To create a saved search:

1. Go to your ebrary site and sign in to your personal ebrary account

2. Create and run a new search as follows:

a. Click on “Advanced” next to the Simple Search window

b. Set up your desired search criteria

To search for titles in a subscription collection you don’t have, see the Advanced Search Instructions below

Admins, to search for new purchasable content, add a search line and set “Collection” to “All Purchasable”. This will search ebrary titles available for purchase; results returned will point to preview-only copies

c. Click “Search” (you need to do this for the search to be save-able)

3. Find and save your search as follows:

a. Under the Search tab, then under the SEARCHES tab, look for the search you just ran and click “Save” for that search

b. This will bring up a new window in which you can set search name, email address, search frequency (setting frequency to 0 turns off alerts)

c. Click “Create”

To modify your saved search criteria or search frequency:

1. Go to your ebrary site and sign in to your personal ebrary account

2. Under the Search tab, then under the SEARCHES tab, look for your saved search

3. Click on “Edit” for that search

4. Here you can change search name, email address, search frequency (setting frequency to 0 turns off alerts!!)

a. If you make changes here, click “Update” (takes you back to SEARCHES tab)

5. Or, to change the search criteria, click on “Edit Search Criteria”

a. Make any desired changes to your search criteria

b. Click “Search” (you need to do this for the search to be save-able)

c. Click “Update Search”

Advanced Search Instructions

You can search for titles in a subscription collection you don’t have; results returned will point to preview-only copies.

1. Go to the alltitles preview site at http://site.ebrary.com/lib/alltitles

2. Do an advanced search and include the collection to search (for example Academic Complete) and the criteria (for example Title includes opera)

3. Once you run that search, the URL at the top will include the search criteria. Select and copy the end part of the URL starting with “/search” – that is, starting right after the “/alltitles” part and all the way to the end of the URL.

For the example above, the URL will be (ignore line breaks shown):

http://site.ebrary.com/lib/alltitles/search.action?
adv.x=1&fromSearch=fromSearch&f00=collection
&p00=col_cust_acad_complete&f01=title&p01=opera&search=Search

Copy this part (ignore line breaks shown):

/search.action?adv.x=1&fromSearch=fromSearch
&f00=collection&p00=col_cust_acad_complete
&f01=title&p01=opera&search=Search

4. In a separate tab or window, go to your usual ebrary site

5. Sign in to your personal ebrary account (you’ll need to do this)

6. Edit the URL at the top by pasting in the copied search string right after your ebrary site name, and press return

7. If you’ve copied and pasted the right section of the URL, you’ll be searching the preview-only collection from your site

To use certain ebrary features, you need to first sign in to your personal ebrary account. These features include:

Download a chapter or page range as a PDF

Download an entire book using Adobe Digital Editions

Save (to your Bookshelf) links to ebrary books

Make (and save in your Bookshelf) notes in ebrary books

Make (and save in your Bookshelf) highlights in ebrary books

Create folders (in your Bookshelf) to organize your links to ebrary books

Share or email folders (in your bookshelf) that contain links to ebrary books

Once you have a personal ebrary account, you will have your own personal ebrary Bookshelf as well.

Note, preferences info (e.g., citation choice and language preference) are stored as “cookies” on the computer itself – so they follow the computer, not your personal ebrary account. But your Bookshelf and things specific to your username (e.g., password, name, and email address) follow your personal ebrary account login.
